1.ME.70 Motor Vehicle and Insurance Coverage Policy

Community Care employees and/or contractees, not including foster parents, are required to provide proof of appropriate amounts of insurance, a copy of a valid driver's license, and a copy of their vehicle's registration at the time of hire or contracting, and when those items are renewed.

 

A vehicle safety check will be completed by the supervisor or designee prior to the employee or contractee engaging in direct client service where a client will travel in the employee's, or contractee's, vehicle. To ensure this validation, employees will provide the Community Care Human Resource Department with a copy of their current registration and proof of appropriate driver's insurance. Each year the employee's vehicle will be checked by the supervisor for appropriate passenger restraints, current inspection, and other items as specified on the Vehicle Safety Checklist.

 

Foster parents contracting with Community Care will provide the agency with a copy of their driver's insurance, which must meet the minimum requirements indicated in their contract. Annually, a Motor Vehicle Insurance Form will be completed and signed by contracted foster parents stating that their vehicles used to transport clients have the appropriate passenger restraints, a current inspection sticker, and adequate insurance as indicated in their contract with Community Care.

 

All employees and contractees, including foster parents, will be required to sign a release authorizing Community Care to conduct Department of Motor Vehicle record reviews. Annually, the Human Resource Department will review Department of Motor Vehicle records of all employees and contractees, including foster parents, to verify that their license is current and appropriately clear of driving infractions as required by the Department of Human Services and COA accreditation standards. The Community Care supervisor, or designee, will review safety inspection and DMV record information with their employees and/or contractees. Employees and Contractees are required to notify their supervisor when infractions are added to their motor vehicle record.  This could include, but is not limited to, speeding tickets, failure to produce insurance, or suspension.  This notification to the supervisor needs to take place as soon as possible, but in no case more than 48 hours after the violation date.  Supervisors must be notified immediately when there is a loss of license, accident that includes a client or an arrest for operating under the influence.  Any time there are infractions reported that violate Community Care's licensing restrictions, such findings (may be reported and/or delete) may result in disciplinary action up to and including termination.
